How to Contact IRCC About Delays or Application Updates

Updated in August 2026. The channels described below continue to exist, but it is worth knowing the order of effectiveness today: (1)the IRCC web form is the channel that actually generates a written response and is recorded in your dossier; (2) the telephone line only works from within Canada and has a long wait time; (3) the request for Access to Information and Privacy (ATIP) remains the way to see the notes from the agent who analyzed your case, it is free for those in Canada and takes about 30 days. Before activating any of them, check whether your case is past the official processing deadline: IRCC does not respond to requests within the normal deadline.

Why is it so stressful to talk to Canadian Immigration (IRCC)?

During the immigration process in Canada, it is common for many applicants to experience delays in processing their applications. Although Immigration Refugees and Citizenship Canada (IRCC) has made strides to mitigate these delays, prolonged waits are still a frequent experience.

However, there are official channels available for applicants to express concerns or update IRCC about their applications, many of which have proven effective in the past.

The current situation highlights that the IRCC customer support center is handling a high volume of correspondence through multiple channels. Between April and October 2022, the department received a total of 8.3 million queries, covering telephone correspondence (6.6 million) and emails (1.5 million). This upward trend is expected to continue in subsequent years.

Contact IRCC via web form

One option available to applicants is the IRCC Web Form, an online resource used by the immigration department to answer specific application questions. This form is especially intended for those who wish to query the delay in processing an application as well as to update crucial details.

Believe me, this form has already been very useful to me, although they emphasize that it should only be used in cases where the application has exceeded the deadline.

Additionally, it can be used by individuals who wish to add, change or update information about the use of a representative on their application, submit supporting documents, request urgent processing or PR card replacement (if they meet specific criteria), and report technical issues with IRCC’s online services.

On average, IRCC’s response through this channel takes approximately 30 days, although this may vary depending on the complexity of the request and the need for additional information. It is important to note that IRCC will not respond to the web form if the application is still within the official processing time limits. Additionally, it may take up to five business days for the department to update the application with the information provided through the web form.

Contact IRCC by email

IRCC can also be contacted (to a limited degree) via email. This method is for those who have general or technical questions they would like to ask the department.

IRCC generally recommends checking its Popular Questions Page before contacting the department via email. However, if the answer to a candidate’s query cannot be found through this page, they can email:

Importantly, this mode of communication can be a common target for scammers, who seek to trick newcomers into providing personal information (including bank details) by posing as IRCC. Newcomers should remember that there are certain things IRCC will never ask for via email.

It usually takes 2-5 business days to receive a response from IRCC via email, although it should be noted that their ability to answer specific questions about your case is limited through this channel.

Contact IRCC via telephone

The last option to contact IRCC is by phone, although this alternative is only available to those within Canada. IRCC operates an automated telephone line and another staffed by human agents, each with different hours and conditions.

The line staffed by Customer Support Center agents (IRCC’s human-operated phone line) is available from 8am to 4pm, Monday through Friday. This line, which offers support in English and French, allows candidates to obtain assistance with general and case-specific queries. It is important to note that customer support agents do not have the authority to make decisions regarding applications and cannot expedite application processing for those who are not eligible for rush processing.

On the other hand, automated telephone service is available 24 hours a day, 7 days a week. This service allows applicants to check the status of their applications and listen to pre-recorded information about IRCC programs.

New arrivals can contact IRCC (from Canada only) using the following telephone number for both lines: 1-888-242-2100.

But be ready to wait at least 50 minutes, and that’s assuming the call isn’t interrupted after almost an hour of waiting.

Applicants can also request documents called Global Case Management System (GCMS) notes. GCMS is IRCC’s universal software system for storing and processing applications the department receives.

GCMS grades are information saved in this software, either automatically by the software itself, or by immigration officers processing an application. GCMS grades can therefore provide candidates with detailed information about:

  • A specific application (including when the application was received, when it was opened, the code of the immigration officer who is assigned to the application, the status of the application and the reason for the status, etc.);
  • Any information that IRCC has collected about the candidate; and
  • Any information sent by a third-party representative to IRCC.GCMS grades are a form of Access to Information and Privacy (ATIP) request. ATIPs are the Canadian government’s vehicle for Canadians or those in Canada to access information collected about them by the government.

All ATIP requests to the Canadian government must receive a response within 30 days. However, the answer may be that the department needs additional time to process the request.

If individuals outside of Canada wish to apply for GCMS grades, they must have a representative apply on their behalf, who is:

  • A Canadian citizen;
  • A Canadian permanent resident; and/or
  • An individual or corporation currently in Canada.
